Required Arrivals and Departures

Leadership Team Arrivals: Wednesday, June 24  

  • All Leadership attendees must arrive at the hotel by 7 p.m. on Wednesday, June 24, to attend dinner from 7:30–9 p.m. 
  • Attendance is required at all anchored events through the Closing Banquet, ending at 11 p.m. on Saturday, June 27. 
  • A waiver is required for late arrival, early departure, or partial attendance and single rooms. 

Collegiate & alumnae delegate arrivals:  Wednesday, June 24 or Thursday, June 25 

  • Collegiate and alumnae delegates should arrive on Thursday, June 25, in time for functional training at 1 p.m. Early arrival on Wednesday, June 24, is permitted with prior approval from the events team before booking travel. Please email dgevents@deltagamma.org for approval.
  • Delegates must attend all anchored events through the Closing Banquet, ending at 11 p.m. on Saturday, June 27. 
  • A waiver is required for late arrival, early departure, or partial attendance.

All non-delegates may arrive and depart at their leisure.   

All chapters larger than 125 members have budgeted to send their ATC or another chapter adviser to Convention. Chapters that do not fall into this category may have budgeted to send an adviser, and the vp: finance should check the budget to confirm. Should there be any questions or confusion, the vp: finance should contact their RFHS who can share the chapter budget and where to look to find this information. Training will be offered on Thursday, June 25, beginning at 1 p.m. for all ATCs who are in attendance. It is expected that any ATC (or alternate adviser) attending Convention should arrive on time to participate in training. Attendance for ATCs is not required. For those who cannot attend in person, follow-up communication and additional training materials will be provided virtually. 

Flights & Ground transportation

All flights for required attendees must be booked by May 15, 2026.

  • Leadership attendees are strongly encouraged to book flights through Altour Travel but may book independently. The events team will provide Altour with an approved list of Leadership whose flights should be billed to Delta Gamma. The Fraternity/Foundation will cover Leadership flights directly or via reimbursement. 
  • Collegiate delegates must book through our preferred travel agent using chapter or personal payment. 
  • Alumnae delegates may book independently or through Delta Gamma’s preferred travel agent. 
  • All other attendees are responsible for booking their own flights. Early booking is recommended to secure the best fares and seats.

Driving to the Gaylord Texan

Attendees who plan to drive will be able to self-park at the hotel at a discounted rate. Any voting delegate who will be driving will be encouraged to rent a car through our partnership with Enterprise. They will be reimbursed for costs associated with the rental. Information will be shared with attendees on the rental and reimbursement process in the months leading up to the event.

Waivers

Waiver Approval Process:  

Delegates or Leadership who are unable to attend the full duration of Convention or who want to request a single room or room with a non-delegate must submit a waiver. Delegates and Leadership should email dgevents@deltagamma.org to request a waiver. All waiver requests will be reviewed in accordance with the Travel and Event Policy. Fraternity-related waivers will be coordinated by the assistant director for events in consultation with the director of training, development, and member experience. Foundation-related waivers will be forwarded to the Foundation events and executive operations manager for review and approval. 

The deadline for all waivers is Friday, April 3. Should a collegiate or alumnae delegate not be able to attend Convention, they should find a replacement attendee to go in their place. All requests should be sent to dgevents@deltgamma.org. 

A waiver will be required if a member of Leadership, collegiate or alumnae delegate is requesting to arrive late, depart early, or cannot attend.
